1. Introduction and scope
These Terms of Purchase and Cancellation Policy (the "Terms") govern every purchase, booking, membership, and payment made on the LifePass platform — the website at lifepass.is, any LifePass mobile application, or any other channel we operate (the "Platform"). The Platform is operated by Sporta ehf., Icelandic company registration (kennitala) 490925-1470, VAT (VSK) registration 161242, registered office Hverfisgata 88, 101 Reykjavík, Iceland ("LifePass", "we", "us", "our"). Contact: support@lifepass.is, +354 659 7020. By creating an account, completing a purchase, or starting a membership you confirm you have read and accept these Terms; if you do not accept them you must not use the Platform. These Terms are a legally binding contract governed by Icelandic law (disputes: §14).
2. What LifePass is — and what it is not
LifePass is a booking and access platform connecting you to fitness, wellness, and recreation venues in Iceland (gyms, studios, pools, lagoons, spas, and similar — "Venues"). We sell access, take payment, and manage your bookings and membership; the actual service is delivered by the Venue, not by LifePass. We are not the operator of any Venue and the quality, safety, and conduct of the service is the Venue's responsibility — but your contract for payment and booking is with LifePass, and we are your point of contact for cancellations, refunds, and disputes.
2.1 Venues using third-party reservation platforms
Some Venues manage live inventory through a third-party platform — currently Bokun (Tripadvisor LLC), used by Venues such as Forest Lagoon and Vök Baths; the list may change and the booking page shows it at the time of booking. For these: we create the reservation on your behalf (transmitting the data in Privacy Policy §4.B), cancellation is initiated from LifePass (not Bokun/the Venue), and if a booking fails after checkout or the platform is unavailable we notify you and fully refund any charge taken (see §6.7).
3. Your account
To book or start a membership you must create a LifePass account. You must be at least 18 (or 16–17 with guardian consent), provide accurate information, keep your credentials confidential, and notify us of any unauthorised use. You are responsible for all activity under your account. We may suspend or close accounts for false information, misuse, or repeated cancellations, no-shows, chargebacks, or conduct issues (§11).
3.1 Identity verification (kennitala)
To start a monthly membership, and to activate an employer-paid benefit, you must verify your Icelandic kennitala through our identity partner Kenni (auðkenni). We use it to confirm your identity, prevent fraud and duplicate/shared memberships, and — for company plans — match you to your employer's authorised-employee list, relying on Article 12 of the Data Protection Act No. 90/2018. One-time visitor passes (§4.2) do not require kennitala verification.
3.2 Personal to you
Your account, membership, visit allowances, passes, and any booking or entry QR code are personal and non-transferable. You may not sell, lend, share, or resell them, or use the Platform for another person. Sharing a QR code or letting someone else use your booking is a breach and may result in forfeiture of the session without refund and account suspension (§11).
4. What you can buy
LifePass offers the products below. Your cancellation and refund rights depend on which you bought (§6). All prices are in Icelandic króna (ISK), VAT-inclusive where applicable, and the final price is shown before you confirm payment.
4.1 Monthly memberships
A recurring membership giving you monthly allowances of visits across in-bundle Venue types. Memberships renew automatically each month until cancelled, charging your saved payment method on the renewal date; carry a 3-month minimum commitment (shown at checkout), then continue month-to-month until cancelled; and include monthly visit allowances and limits shown on the plan page. Allowances are consumed when you check in at a Venue (not when you book) and do not roll over — unused visits expire at the end of each monthly period.

If you use up a monthly or per-venue allowance within a period, you are not locked out: at in-bundle Venues you may continue by accepting a per-visit drop-in (top-up) charge where the Venue offers one (§4.5); at premium Venues you continue at the member price with no visit consumed (§4.3); at boutique studios the ladder in §4.4 applies. The per-day limit is a hard ceiling and cannot be extended by paying. Price changes: we may change membership prices with at least 30 days' email notice; you can cancel before the new price applies (continued use is acceptance).
4.2 Visitor passes (one-time)
Prepaid passes that work without a membership. Day passes are valid for 1 visit, same day, locked to one Venue type: Gym Day Pass — 2,990 ISK; Studio Day Pass — 3,490 ISK; Pool Day Pass — 1,490 ISK. Visit packs are multi-visit and flexible across gyms, studios, and pools: Explorer — 7,900 ISK (3 visits, valid 30 days); Adventurer — 14,900 ISK (6 visits, 60 days); Local — 28,900 ISK (12 visits, 90 days).
Pass visits are consumed at check-in, do not roll over, and any unused visits are forfeited when the pass expires (the expiry date is shown at purchase and on your receipt). Pass visits are redeemed at in-bundle gyms, studios, and pools; passes do not redeem visits at premium Venues or boutique studios — those are charged per visit (§4.3–4.4). Holders of multi-visit packs pay the discounted member price at premium Venues (where the Venue has one) while the pass is unexpired with visits remaining; day-pass holders pay the standard price. Pass holders may also visit boutique studios at the flat per-visit surcharge (§4.4) — no pass visit is consumed.
4.3 Premium (à-la-carte) Venues
Certain Venue types — lagoons, recovery/spa, racquet, and premium studios — are not included in any membership or pass; every visit is paid, at a price shown before you confirm. It works as follows: while you have monthly visits left, a premium visit consumes one monthly visit and is charged the standard per-visit surcharge for the chosen activity (the same price on every tier). Once your monthly visits are used up, you may continue at the discounted member price where the Venue has one (falling back to the standard price otherwise) — no visit is consumed and such money-only visits do not count against your per-day limit. Holders of active multi-visit packs (unexpired, with visits remaining) pay the member price (§4.2); day-pass holders and non-members pay the standard price.
4.4 Boutique studios
Boutique studios (e.g. reformer Pilates, barre) are in-bundle with their own included allowance per studio per month (Base 0 / Plus 2 / Max 3; live values on the plans page). Included visits are free and consume one monthly visit. Past the included allowance, while you still have monthly visits, a boutique visit consumes one monthly visit plus a flat per-visit surcharge set by the studio — the same price on every tier. Once your monthly visits are used up entirely, the studio's full drop-in price applies (§4.5), with no visit consumed. Visitor-pass holders and non-members may visit boutique studios at the flat per-visit surcharge — money only, no pass visit consumed.
4.5 Drop-in (top-up) charges
When you have used up an included monthly, per-venue, or boutique allowance but still want to visit, in-bundle Venues may offer a one-time drop-in (top-up) chargeat the Venue's own price, shown before you confirm. A drop-in is available only where the Venue has set a drop-in price, is a single per-visit payment (not a stored balance), and consumes no visit. Drop-ins cannot extend the per-day limit. Every per-visit surcharge or drop-in requires your explicit consent at the moment of the charge — we never charge silently.
4.6 Employer-paid (company) plans
Where your employer has a company agreement with LifePass, you may receive a membership or visit allowance paid for in full or in part by your employer once your kennitala is verified and matched to your employer's authorised-employee list. Where your employer covers the full cost, you pay nothing for it. Where your employer covers part of the cost (a co-pay plan), your monthly share is shown before you accept and is charged to your saved card each month. If a share payment fails, the co-paid membership is suspended while we notify you and retry the charge daily for up to a week — settling the payment restores access; continued failure leads to cancellation. You may cancel your participation in-app at any time. Employer-provided access follows the lifecycle of your employer's plan, is non-transferable and has no cash value, and may be revoked at your employer's instruction (e.g. when your employment ends), after which your access reverts to whatever you have purchased yourself.
4.7 Gift passes
Any visitor pass (§4.2) may be bought as a gift. The recipient receives an email with a personal claim link; the claim is bound to the recipient's email address and is not transferable. The gift must be claimed within six (6) months of purchase; the pass's validity period starts when it is claimed, not when it is bought. Unclaimed gifts expire six months after purchase without refund, except where mandatory consumer law provides otherwise. The purchaser holds the statutory 14-day withdrawal right (§6.4) for an unclaimed gift; once claimed, the pass is treated as a visitor pass held by the recipient and §4.2 and §6 apply accordingly.
5. Prices, payment, and receipts
All prices are in ISK and VAT-inclusive where applicable; the final amount is shown before you confirm. We accept the payment methods displayed at checkout — Visa and Mastercard. Card payments are processed by our payment partner Kling, a PCI-DSS-compliant Icelandic payment provider, with strong customer authentication (3-D Secure) where required. LifePass does not store full card numbers, CVV codes, or PINs. On a successful payment we issue an electronic receipt by email and in your account, showing the product, amount and currency, date, and a reference. Access is digital and is activated immediately on successful payment — there is no shipping or physical delivery. Failed membership renewals: we retry up to 3 times over 7 days and notify you; if payment cannot be collected, the membership is suspended until resolved.
5.1 Saved payment method (card on file)
To make repeat payments — membership renewals and per-visit surcharges and top-ups at premium and over-cap Venues — we keep a secure reference to your card on file with Kling. Only a tokenised reference and limited display details (card brand and last four digits) are retained; we never store your full card number, CVV, or PIN (§5). By saving a card and accepting these Terms at checkout you authorise LifePass, through Kling, to charge that card for the amounts described in §4 — a stored-credential mandate under the Visa and Mastercard rules. This standing authority is separate from, and does not replace, the explicit per-charge consent required for every individual surcharge or top-up (§4.5): we disclose the exact amount and you confirm it before each such charge, and we never charge silently.
A saved card is required for a monthly membership and for a co-pay plan so we can collect the recurring fee or your monthly share. For a one-time visitor pass, your card is saved by default for future one-step payments — you may opt out at checkout, in which case no card is stored. If a surcharge or drop-in applies and you have no saved card, you pay on our payment provider's secure hosted payment page, and the card used is then saved (tokenised with the provider, as above) so your next payment is one step. You can remove a saved card at any time from your account or by contacting support; removing it or closing your account withdraws this authority for future charges, subject to settling any membership then within its minimum term (§6.3) and any amount already due.
6. Cancellation and refund policy
6.1 Overview
Booking cancellations follow §6.2; memberships follow §6.3; both are subject to the 14-day distance-selling right in §6.4; no-shows and late cancellations are not refundable (§6.5).
6.2 Cancelling a booking
You can cancel any booking at any time in the LifePass app or website (My Bookings → Cancel); cancellation by email, phone, or directly with the Venue/Bokun is not processed. Refund of any per-visit surcharge or top-up charge depends on when you cancel, measured against the booked start time:
- 12 hours or more before the start — full refund of the charge, and any consumed visit allowance is returned to your balance (keeping its original expiry).
- Less than 12 hours before the start, or a no-show — no refund; the charge and the visit are forfeited, and a late-cancellation strike is recorded on your account. Repeated strikes may lead to suspension (§11).
- Cancelled by the Venue or by LifePass — full refund (§6.7).
(A small number of Venues on legacy provider integrations may show a fixed cancellation cutoff on the booking page; where shown, that cutoff applies for that Venue.)
6.3 Cancelling a membership
Cancel any time in your account settings. Within the 3-month minimum commitment, your cancellation is accepted but billing continues until the end of the committed term, and you keep access until then. After the committed term, cancellation takes effect at the end of your current paid month and you keep access until that period ends. No partial refund is given for an unused part of a period in either case. Pause: where offered, you may pause your membership up to 2 times and 60 days total per membership-year; while paused no payment is taken and no access is granted, and a pause does not extend a minimum-commitment term.
6.4 14-day right of withdrawal (distance selling)
Under Icelandic law implementing the Consumer Rights Directive you may withdraw from a distance contract within 14 days, with two LifePass-specific exceptions: (A) a booking tied to a specific date/time cannot be withdrawn once that date has passed (it follows §6.2); (B) where you ask a service to begin immediately and acknowledge you lose the withdrawal right once it is fully performed, you cannot withdraw for a session already taken. Memberships:to withdraw within 14 days, email support@lifepass.is, subject "Right of withdrawal", with your name, account email, and start date. Where no visits have been used we refund the full membership fee within 14 days; where visits have been used we deduct a proportionate amount at the applicable single-visit price before refunding the balance. Passesare a digital service performed in full at purchase: once any visit from a pack is used the 14-day right no longer applies; if unused you may withdraw within 14 days for a full refund, or, if partly used, a refund of the unused visits valued at the pack's per-visit price.
6.5 No-shows and missed sessions
A no-show — failing to attend without cancelling 12+ hours in advance — is non-refundable, regardless of reason (illness, travel, weather, work, forgetting, late arrival), except the narrow medical/exceptional cases in §6.6. Venues reserve capacity for your booking and it cannot be resold.
6.6 Exceptional circumstances
At our sole discretion we may refund or credit outside these rules for a documented serious medical emergency/hospitalisation (documentation within 7 days), bereavement of an immediate family member, or a documented event outside your control that makes attendance impossible. We may provide LifePass account credit rather than a cash refund; repeated requests may be declined.
6.7 When LifePass or the Venue cancels
If a booking is cancelled by the Venue or LifePass (closure, instructor illness, double-booking, operational or third-party-platform failure), you receive a full refund to your original payment method (or account credit if you prefer). If a Venue refuses you entry through no fault of your own, contact us within 48 hours with evidence and we will refund in full. We are not liable for consequential losses (travel, lost wages); our liability is limited to the amount you paid for the affected session or period.
6.8 How refunds are processed
Refunds are made to the original payment method (we cannot refund a different card) and typically appear within 5–10 business days, depending on your issuer, via Kling. Where we instead offer account credit as a goodwill gesture, it is applied immediately, expires 12 months after issuance, is non-transferable, and is not refundable for cash. Non-ISK currency-conversion fees are not refunded by us.
7. Conduct at Venues
You agree to follow the Venue's house and safety rules and staff instructions, arrive on time, behave respectfully, and present ID if asked. Serious or repeated misconduct, intoxication, or endangering others may result in removal, forfeiture of the session without refund, and suspension or termination of your account.
8. Health, fitness, and your responsibility
You are responsible for assessing whether a service suits your health and fitness; do not use a service against medical advice, inform the Venue/instructor of relevant conditions, and stop if you feel unwell. LifePass and Venues do not provide medical advice — consult a professional if unsure.
9. Liability
Nothing limits our liability for death or personal injury caused by our negligence, for fraud, or for anything that cannot be excluded under Icelandic law. Subject to that, our total liability for any booking or membership is limited to the amount you paid LifePass in the 12 months before the event giving rise to the claim. We are not liable for indirect or consequential losses, the conduct of Venues, your belongings, injuries except where caused by our negligence, or interruptions caused by force majeure (§12).
10. Personal data and privacy
We process personal data under Act No. 90/2018 and the GDPR; our Privacy Policy at lifepass.is/privacy explains what we collect, why, retention, sharing (including Bokun for certain Venues), and your rights. Card details are handled by Kling under PCI-DSS standards; LifePass does not store full card numbers, CVV codes, or PINs.
11. Suspension and termination
We may suspend or close your account (with notice where practicable) for breach of these Terms, false information, repeatedly declined/reversed payments, chargebacks raised without first contacting us (§13), abuse of the cancellation rules, conduct at a Venue (§7), or where continuing would breach our obligations to Kling, Visa, or Mastercard. You may close your account any time; closure does not refund past payments or cancel commitments already made.
12. Force majeure
We are not liable for failure or delay caused by events outside our reasonable control (natural disasters, pandemics, government action, strikes, power/internet outages, payment-system or booking-platform failures); where possible we will reschedule or refund affected bookings.
13. Complaints and dispute resolution
Contact us first: support@lifepass.is, subject "Complaint" — we respond within 2 business days and aim to resolve within 14. Please do not raise a card chargeback before contacting us. If unresolved, you may refer the matter to the Complaints Committee on Transactions with Financial Companies (úrskurðarnefnd um viðskipti við fjármálafyrirtæki), Guðrúnartún 1, 105 Reykjavík, or to the Consumer Agency (Neytendastofa, neytendastofa.is). EU consumers may use ec.europa.eu/consumers/odr.
14. Governing law and jurisdiction
Icelandic law; disputes not resolved out of court go before the District Court of Reykjavík (Héraðsdómur Reykjavíkur), without prejudice to any mandatory consumer right to sue in your country of residence.
15. Changes to these Terms
We may update these Terms; we notify material changes by email and by posting the new version at least 14 days before they take effect. Changes do not apply retroactively to confirmed bookings or to the current paid month of an existing membership.
16. Other terms
- Entire agreement: these Terms, the Privacy Policy, and any plan-specific terms shown at checkout form the entire agreement between you and LifePass.
- Assignment: you may not assign your rights under these Terms; we may assign ours with notice to you.
- Severability: if any provision is unenforceable, the remainder continues in force.
- No waiver: our failure to enforce a right is not a waiver of it.
- Language: these Terms are currently provided in English. If and when an official Icelandic version is published, the Icelandic version will prevail for consumers in Iceland in case of discrepancy; for non-Icelandic consumers contracting from outside Iceland the English version prevails.
17. Acceptable use of the Platform
When using the Platform you agree not to: resell, sublicense, or commercially exploit your access, visit allowances, passes, bookings, or entry codes, or use the Platform to provide a service to third parties; let any other person use your account, visit allowances, passes, or QR entry codes (see §3.2); access the Platform using automated means except permitted search-engine indexing, or harvest data about Venues, prices, or users; circumvent, disable, or interfere with the visit-allowance, pass, booking-limit, cancellation, security, or rate-limit systems, or obtain access you have not paid for or been granted; upload malicious code or attempt unauthorised access; or use the Platform for any unlawful purpose. Breach may result in immediate suspension or termination (§11), forfeiture of affected bookings, passes, or allowances without refund, and referral to law enforcement where appropriate.
18. Intellectual property
The Platform and all software, design, text, graphics, logos, and other content we provide (other than content owned by Venues or third parties) is owned by Sporta ehf. or its licensors and protected by intellectual-property laws. "LifePass" and our logos are our trademarks and may not be used without our written consent. Subject to your compliance with these Terms, we grant you a limited, personal, non-exclusive, non-transferable, revocable licence to use the Platform for your own personal, non-commercial use; this transfers no ownership and ends when your account closes. If you submit reviews, feedback, or suggestions, you grant us a non-exclusive, royalty-free, worldwide licence to use them to operate and improve the Platform.
